General Event Tips

A special event can often be a once in a life-time experience and so it is important that the event organisation is well-planned to ensure that it can be remembered as a success. The following guidelines are offered to aid you with your event planning from start to finish:

Before you even begin planning the event it is important that you consider the following questions:

1. What is the purpose of your event? - profit making, communicating an idea or a message, promotion purposes?

2. Do you have enough time to organise your event? Consider what is involved and ensure that you have adequate time before you publish the event date.

Once you have then decided on what the focus of the event is and you are aware of what you are working towards then you are should begin the actual planning of the event. Some tips to bear in mind are:

General Event Organisation Plan - There are four broad areas that you must consider and implement when planning your next event: A plan will need to be drawn up outlining how you will manage each part of the organisation.
Team - Put an event management team together. Try to choose people that have different skills to ensure that you have an efficient wide reaching team.
Audience - Work out who your audience are. The most successful events are always those which are targeted to a specific type of audience.
Venue - Weigh up pros and cons of each possible venue. Consider size of event, accessibility and parking.
Numbers - establish how many people the venue will hold and provide adequate event security and stewarding to control the amount of people in the venue.
Special Needs Provision - Specific arrangements should be made to ensure disabled visitors have adequate facilities, parking and specific viewing areas and can safely enjoy the event.

Once the event has taken place it is important to take time to evaluate its success. You may want to consider having a feedback survey for event staff or attendees to fill in. Some questions to consider may be:

1. Did the event fulfil its purpose? Why or why not?
2. Did as many people attend the event as anticipated?
3. What was particular successful and what was not?
